Your chart of accounts

How Spheyas seeds your chart of accounts, where to find it, and how to add, edit or remove accounts as your business changes.

The chart of accounts is the list of ledgers your transactions post to. When you create an organization, Spheyas seeds a full chart matched to the Type you chose — Services, Merchandising, Manufacturing and so on each get the accounts that make sense for them.

Where it lives

Open Chart of Accounts from your dashboard. You will see familiar names like:

  • Service Revenue and Other income on the income side
  • Salaries, wages & fringe benefits, Utilities and Independent contractors, consultants on the expense side
  • Accounts receivable, Temporary investments and Prepaid expenses among assets
  • Owner's capital in equity

Some accounts come locked because the posting rules depend on them. Locked accounts still work normally — the lock only stops them being deleted by accident.

Adding and editing accounts

You can add an account, edit its name or details, and delete accounts you no longer use. If activity logging is switched on for your organization, changes and deletions are recorded in the activity log — so on Premium, where the log covers the whole organization, there is a trail of who changed the books and when. With logging off, there is no trail; it is your call whether that matters.

A few habits that keep a chart healthy:

  • Add a new account when a recurring expense or income line has nowhere clean to go, not for every one-off.
  • Rename rather than delete when an account is misnamed and already has transactions.
  • Leave the seeded structure alone until you actually need to differ from it.
