Send your first invoice

Create an invoice, add line items and taxes, and send it to your customer as a PDF or a shareable link.

An invoice in Spheyas starts as a draft. Nothing posts to your ledger until you send it, so you can leave one half-finished without affecting your reports.

Create the invoice

  1. Go to Invoices and choose New invoice.
  2. Pick a customer, or leave the bill-to details as a one-off address. A contact is optional — the bill-to address is what appears on the document.
  3. Set the invoice date and the due date.

Add line items

Add a row per item or service. Each row takes a description, a quantity and a rate, and you can attach a tax to any row.

If you sell tracked products, choosing one from your item list pulls its rate through and draws the quantity down from stock when the invoice is sent.

Save & Send

Save & Send is the step that matters. It moves the invoice out of draft, gives it its number, and posts the entries to your ledger — from that moment the invoice shows up in your Profit & Loss and the amount due appears on your Balance Sheet.

While an invoice is a draft, saving with Save & close touches nothing in your books. Invoices and bills also have Save & submit for approval, for when someone else needs to sign off before the money is asked for.

Once sent, you can:

  • Download the PDF and send it yourself.
  • Share a link, which lets your customer view the invoice and download the PDF without creating an account.

Only finalized documents count toward the Free plan's monthly limit. Drafts never do.

Record the payment

When the money arrives, open the invoice and choose Add payment. Part payments are fine — the invoice moves to partially paid and the outstanding amount updates on its own. The full flow is in Record a payment.
