Convert a quote to an invoice

Turn an accepted quote, proforma or shipped delivery note into an invoice without retyping the line items.

When a customer accepts your quote, the deal is done — you should not have to type it all again. Spheyas converts the document in one click and keeps the trail between the two.

When conversion is available

Open the document and look for Convert to invoice. It appears when:

  • A quote, estimate or proposal has been accepted.
  • A proforma has had its deposit paid.
  • A delivery note has been shipped.

What happens when you convert

The invoice is created as a draft that carries everything over — line items, quantities, rates and taxes — with the payments and statuses reset, and a new invoice number of its own. The original document is marked as converted and points to the new invoice, so you can always walk back from the invoice to the quote it came from.

From there it is a normal invoice: adjust anything, then Save & Send when you are ready for it to hit the ledger. The whole lifecycle is in Send your first invoice.
